That waiting room says it all

You take your car to the dealership. A technician takes the keys, tells you they'll look at it in a moment, and invites you to wait in the waiting area. There's coffee, comfortable armchairs, and a huge screen. And then the uncertainty begins.

Are they looking at the car? Do they already know what's wrong with it? Do I need to go talk to someone? How much longer?

In the real world, that uncertainty causes the customer to get up, ask questions, interrupt the salesperson, return to their seat, and repeat the cycle. In the Mercedes world, that cannot happen. The brand has spent decades building a premium experience that cannot be disrupted at the most mundane moment in the vehicle's life cycle: the service.

They asked us to solve that. And we did.


The problem that no one had formalized

The challenge wasn't technically impossible. It was something many dealerships managed with internal calls, paperwork, or simply by guesswork. But when Mercedes-Benz wants to standardize the experience across its entire dealership network in Spain, "by guesswork" is no longer an option.

They needed a system that:

  • It will register the vehicle's entry and assign it to an internal workflow.
  • It will communicate in real time to the customer in the room what the status of their car was
  • It will clearly differentiate the different states of the process: awaiting diagnosis, in workshop, pending budget, ready to go to office, ready for collection
  • It should be visually consistent with Mercedes-Benz brand standards.
  • It will function stably within the physical environment of the dealership, with screens in the showroom and terminals in the reception and workshop areas.
  • It could be deployed and maintained in multiple facilities with different local infrastructure

It wasn't a problem of the idea. It was a problem of execution. And that's where we come in.


What we developed

The state engine

The core of the system is a real-time status management engine. Every vehicle that enters the dealership receives an identifier in the system. From that moment on, workshop technicians and reception staff can update the vehicle's status from their terminals with a single click.

The customer in the room sees the change reflected on the screen immediately. No friction. No intermediaries. No need to ask.

The room interface

The customer display was thoughtfully designed. It's not a list of license plates and vehicle status in Arial font. It's a clean interface, easily readable from anywhere in the room, with visual coding for each status, and typography and color palette aligned with the Mercedes-Benz brand identity. The customer can easily identify their vehicle, read its status, and know exactly what to expect.

The operations panel

In parallel, dealership staff have access to an internal management dashboard: a comprehensive view of all active vehicles, historical timelines for each phase, queue management, and priority tracking. This operational tool not only enhances the customer experience but also makes the team's work more efficient.

Multi-site deployment

One of the real challenges of the project was ensuring the system would function consistently across dealerships with varying network infrastructure, hardware, and personnel. We developed the software with that in mind: standardized installation, remote maintenance, and centralized updates so that every point on the network is always running the same version.


The impact

When the system works, its success is measured by what doesn't happen: the customer doesn't get up to ask, the salesperson isn't interrupted, the reception doesn't handle internal calls about the status of a certain car.

The waiting room ceases to be a limbo and becomes part of the brand experience.

For a network like Mercedes-Benz, where every customer touchpoint is an opportunity to confirm or erode the perception of quality, that detail is worth much more than it seems.


Why this project represents us

The Cloud Group is not a design agency or a software factory. We are systems engineers who understand that software serves a real business, with real people and real processes.

In this case, we understood that the end customer isn't just the dealership. It's the person who takes their E-Class to the shop and wants to know when they can go out for lunch.

That context determined every technical and design decision of the project. And that's what has allowed the system to operate in several Mercedes-Benz dealerships in Spain without anyone having to think about it.

Which is exactly what good software should be.
